It’s another day of helping businesses navigate rejected Google Business Profile (GBP) Appeals and another day of wincing at business owners trying to explain why their profile details don’t match their appeal documentation.
If your appeal has been denied, and your instinct is to attach a long-winded explanation about why your business name doesn’t match the documents you uploaded—stop. This is not how reinstatements work.
I break down why businessplaining is a waste of time, what Google is looking for, and how to avoid yet another rejection.
“Businessplaining” your Google Business Profile Appeal
Businessplaining is when business owners overexplain why their Google Business Profile name doesn’t match the documentation they submitted for reinstatement rather than simply providing the correct documents.
It usually sounds something like this:
- “Our business operates under a different trading name…”
- “We are a subsidiary of…”
- “The lease is under a different entity, but we trade as…”
- “Our website and marketing use this name, but legally we are…”
- “Our accountant registered us as X, but we do business as Y.”
Google doesn’t care about any of this.
The Fatal Assumption
Google Will “Understand” Your Business Structure
One of business owners’ biggest misconceptions is assuming that Google’s appeal reviewers will take the time to understand complex business structures, brand naming, or trading styles.
They won’t.
Who is Reviewing Your Appeal?
- A low-level contractor, often offshore, who has one task:
Check that the business name and address on the documents match the Google Business Profile. - They do not have the authority or interest to interpret unique business structures.
- If the name on your profile does not match the name on your documents, your appeal is rejected. No exceptions.
A written letter explaining the situation will not be read, and an appeal message justifying the discrepancy will not change the decision. Saying, “This is how we operate,” doesn’t make the mismatch valid.
Google isn’t asking for an essay. They are asking for proof.
Avoid Rejection and Submit the Right Documents
Instead of wasting time trying to businessplain, submit a minimum of three official business documents that:
- Show the business name and address on your Google Business Profile.
Accepted Documents Include:
- Business registration certificate (must match the profile name exactly).
- Business license or tax certificate showing the name and address.
- Utility bills (electricity, water, internet, phone) with the business name and address.
- Business insurance, business bank statement showing name and address.
As an additional step, submit two images proving your business exists in the real world, such as exterior signage or an interior workspace.
Reasons for Appeal Denial (That You Could Have Avoided)
Your Google Business Profile name does not match your legal business name.
- Either update your profile to reflect your legal name or submit official documentation for the displayed name.
You submitted a lease agreement, but the business name isn’t listed.
- Submit a business utility bill or registration certificate instead.
You uploaded a personal bank statement instead of a business document.
- Provide business-specific documents with the correct name and address.
Stop Businessplaining, Start Fixing the Problem
Your Google Business Profile appeal isn’t about convincing Google of your business structure. It’s about proving that your business name and address are legitimate.
Instead of explaining, show the correct documents. If your appeal gets rejected, don’t write an essay; fix the mismatch instead. Google doesn’t want your reasoning; they want evidence.
Businessplaining won’t get your profile reinstated; correct documentation will!
